Electronic Signature and Encryption

An electronic signature (ES) is an electronic document attribute that is considered the equivalent of a handwritten signature and seal.

“BAS Document Workflow CORP” can work with any type of ES and any crypto providers, the final choice of which depends on the tasks set.

With an ES, you can:

  • Sign documents, files, resolutions, approval stamps, and approval results.
  • Encrypt and decrypt the content of saved files.

Each established signature can be verified.

The verification status of the electronic signature is stored in the information database and is displayed on the signature card, as well as on the cards and lists of all signed objects.

Signature and certificate verification is performed separately, providing one of the following general statuses to the electronic signature:

  • Valid – if both the signature and the certificate are valid;
  • Valid, but certificate not trusted – if only the signature is valid, but the certificate is not trusted;
  • Invalid – if neither the signature nor the certificate are valid.

Users of “BAS Document Workflow CORP” have the ability to encrypt a file with the recipient’s certificate and send it, for example, by email. Even if the message is intercepted, it will not be possible for third parties to decrypt the file without access to the private key of one of the certificates.

  • All versions of the file are encrypted.
  • The encrypted file can be copied, and the copy will remain encrypted.
  • The encrypted file cannot be edited.
  • Full-text search does not work for encrypted files.

Encryption only ensures the confidentiality of the transferred data, without verifying their integrity and authenticity. These tasks are addressed by the electronic signature. Therefore, it is recommended to sign the file with an electronic signature before encryption.
