LLC «SVJ BEAUTY EQUIPMENT»(ÜLKA brand) is a Ukrainian manufacturer of equipment for manicure masters. The company has been involved in the production and sale of equipment for nail technicians for over 5 years. Among ÜLKA’s products are nail and pedicure extractors, milling machines, hand and elbow rests, as well as protective masks. To date, the sales geography has expanded to 10 countries worldwide.

Prior to the decision to implement a new information system, accounting was carried out using outdated software that over time ceased to meet the company’s needs, particularly in terms of production planning and procurement planning to meet the material needs of production. A new platform was needed to meet the company’s new development scale and help move to a new level of management.

For the implementation of the automation project, we turned to CONTO, a leader in ERP system implementation. Based on the results of the preliminary analysis conducted by the implementation center specialists, the BAS ERP product was proposed as the basis for the new information system, whose typical functionality, flexibility, and scalability meet the requirements set by the company’s management.

The project involved stages such as interviewing company employees and creating a project implementation concept, modeling business processes based on BAS ERP version 2.5, pilot operation and user training, migration of R&D and inventories, and putting the system into industrial operation, which took place on June 1, 2023. The new system was deployed on 20 workplaces.

It is worth noting that the system we chose is a choice for the future, for future development. Currently, the first step has been taken – automation of operational accounting – the sequence of documents according to business processes reflecting the actual movement of materials and labor costs:

  • Procurement management, including operational procurement planning, import operations accounting;
  • Production management, including production volume planning, operational capacity utilization planning, material and labor resource expenditure norms;
  • Outsourced production management;
  • Sales management, including planning;
  • Inventory management, goods assembly and disassembly, use of item kits;
  • Personnel accounting and payroll calculation, considering KPIs;
  • Fixed assets management, depreciation calculation;
  • Cash flow management, utilizing cash expenditure requests and payment calendars.

During the project, the standard functionality of BAS ERP was implemented, and customizations of the standard functionality were also developed to accommodate the industry-specific requirements and unique business processes of the company. Specifically, adjustments were made to control the write-off of materials in production according to specifications and storage locations.

In future plans, there is the configuration of management reports such as P&L, Cash Flow for planned vs. actual analysis of the company’s financial performance, transitioning the accounting system to BAS ERP using the “Intercompany” subsystem, transitioning to address storage, and maximizing the utilization of BAS ERP functionality.

Project results

As a result of the project, the enterprise acquired a modern information system that integrated the management of key business processes into a single informational space.

The consolidation of current business operations within a unified information environment enabled tighter control over the efficient use of financial and material resources.

The new system facilitated operational production planning, analysis of material supply needs in production, and timely provision of these needs.

The management of the enterprise expresses gratitude to the CONTO company’s team for implementing the system and preparing the enterprise’s personnel to work with the software suite.

We positively evaluate the project results, considering that the automation objectives have been achieved. We are satisfied with the work done by the implementation center and continue our cooperation with them under the support agreement.
